Fax over IP versus e-fax provider cutover

Published Aug 16, 2024 • Updated May 1, 2026

Overview

Fax over IP (T.38 / G.711 pass-through) struggles on lossy links; many SMBs move to e-fax SaaS. Expect emotional attachment to thermal paper.

Discovery

Inventory fax DIDs, pages/month, HIPAA/PCI constraints, devices needing physical vs cloud inboxes.

Pilot

Port a low-volume line first; compare success rate vs old POTS. Log failures with SBC PCAP (privacy policy followed).

Cutover

Update MF devices to SMTP destinations where supported; retire USB modem dongles that fight modern OS patching.

Compliance

BAA with e-fax vendor if PHI; encrypt mailbox targets; least-privileged routing not a shared “fax@” with autoplay rules.

Fallback

Maintain one analog line for fire panel or elevator dialer until AHJ says otherwise—MSF teams see this monthly.
